2012 Arkansas Federation of NARFE Convention

The Arkansas Federation of NARFE Convention in 2012 will have a different venue, a different atmosphere and continue the shorter length established at the 2011 convention. All committee business is expected to be accomplished before the convention starts. This will also be a more casual convention and delegates and attendees will be encouraged to dress in business casual, rather than more formally.

Chapter 1453 in Texarkana is hosting the 2012 Convention and any questions you might have should be directed to Chapter President Al Andres by e-mail to ban6332138@cableone.net.

The 2012 Arkansas Federation of NARFE Convention will be held at Texarkana College in Texarkana,Texas with lodging located a short distance from the convention site on Interstate 30.

All those attending must personally contact the convention hotel, Comfort Suites, to make room reservations. You may contact the hotel directly at 903.223.0951. The room rate is $77.00 (plus tax) for single or double occupancy. There is an additional $10.00 charge for extra persons. Be sure to mention "Arkansas Federation of NARFE Convention" to get the special rate. Comfort Suites is located at 215 Richill, Texarkana, TX 75503, right off I-30. Chapter Presidents have been mailed information about the convention.

SPECIAL HOTEL RATE IS GOOD THROUGH APRIL 16, 2012

ATTENTION FOR THOSE PLANNING ON COMING IN ON WEDNESDAY NIGHT, MAY 16TH:  The convention room rate is good for that night as well. If you are traveling a considerable distance to the convention, the extra night is recommended since the convention will start on Thursday morning, May 17, 2012.

Federation Committees for the Convention

At the 2012 Arkansas NARFE Federation Convention, committee chairs, as listed in the "NARFE Officer's Handbook" or on the Federation website, are expected to contact their committee members and have a report available for the first day of the convention.

Current committee chairs will serve in that function at the convention. The committees and chairs are listed below:

Committee chairs should inform the President as soon as possible, if they are unable to be at the convention, so that someone may be designated to fill in as chair.

CHAPTER ACTIVITIES FOR THE CONVENTION

Chapter Submissions to Federation Officers

By March 2, 2012, chapters are expected to submit:

1. Names to Federation President for Honors certificate.

2. A list of chapter members deceased in 2011 to Federation Secretary Loretta McIntire (a complete list of each chapter's deceased may be retrieved via the "Chapter Activities Module (CAM)", a new feature on the NARFE National website). If you need help with the CAM, contact George Wilken at arkwxman@sbcglobal.net. )

3. Forms F-3a and/or F-3c for Resolutions or Amendments to By-Laws to Waymond Meins (see information further down on this page).

Filing Resolutions or Amendments to the By-Laws Forms for the Convention

If you are planning on filing a Resolution to be presented at the National Convention or an Amendment to the Arkansas Federation By-Laws, you must fill out NARFE Form F-3a (Resolution) or NARFE Form F-3c for an amendment to the Federation By-Laws.

In addition, for the By-Laws amendment, all amendments must be sent to each chapter at least 30 days prior to the start of the Federation Convention. For both the Resolutions and By-Laws submissions, please refer to the Arkansas Federation By-Laws, Article X. (Deadline as shown above is March 2nd).

Filing Delegate, Alternate Delegate or Proxy Forms for the Convention

Chapters should ensure that each member of their chapter that attends the convention as a delegate, alternate delegate or proxy bearer, submits a NARFE Form F-42. This form must be filled out in triplicate INDIVIDUALLY FOR EACH delegate, alternate delegate or proxy bearer (one entry per set of forms). DO NOT PUT MORE THAN ONE PERSON ON ONE SET OF FORMS. For instance, if you have someone who will act as a delegate and also carry the proxy of the remaining votes for your chapter, two sets of forms must be made out. Chapters not able to send someone to the convention may have someone from another chapter carry the proxy for their chapter. The three copies are distributed as follows: 1 to the delegate, alternate or proxy bearer; 1 to the chapter and 1 sent to the Federation Loretta McIntire, 26 Alina Lane, Hot Springs Village, AR 71909.  Forms must be sent no later than April 9, 2012.

Placing Ads and Bringing Door Prizes to the Convention

Chapters are asked to advertise the convention at chapter meetings in the months before the convention. Chapters are also asked to place an ad in the Convention Program to help defray the cost of the convention. Delegates from the chapter are asked to bring two door prizes per chapter with them to the convention. Ads may include boosters, as in the past, at the suggested rate of $1.00 per booster. The deadline to submit an ad is April 20, 2011.

Meals

The convention banquet will be held on Thursday night, May 17, 2012,  at Texarkana College, starting at 6 PM. Sign-up for this meal will be on the Registration Form. Circle your choice(s) for the entree on the Registration Form.

Lunch will be available at local establishments near the hotel and a list of restaurants will be available at the convention.
